Job Function

Reports to

The Marketing Director.

Responsibilities

Financial Administration

  1. to maintain the accounts information for the business, including daily recording of invoices due or expenditure made, and monthly summary reports of financial performance
  2. to schedule and issue invoices to clients and to maintain and implement a system for chasing late invoices
  3. to track advertising spending and advise marketing staff of possible credit control issues
  4. to record payments received and to manage the bank accounts of the business
  5. to prepare and submit quarterly VAT returns
  6. to maintain Sage Payroll and to calculate and pay monthly salaries for all staff, plus monthly and year end PAYE/NIC payments and reports

Office and systems management

  1. to maintain internal client and contact summary reports and management systems
  2. to manage the day-to-day organisation of the office, including stationery and grocery purchases and to manage the office cleaning
  3. to control and maintain the petty cash account for the business

Job Status

This is a part time position requiring 20 hours a week. Working times can be agreed, although attendance is preferred for 4 hours per day, Monday to Friday.

Skills and Experience Required

The suitable candidate will ideally display the following attributes:

  1. a close attention to detail is essential, from maintaining the financial accounts and payroll software, to writing customer e-mails and preparing internal reports, in order to present the best possible image of the business
  2. trustworthy and reliable, since the job will require access to confidential and sensitive business information
  3. being well organised and able to cope with a variety of different task and priorities
  4. the candidate must be PC literate and confident when using different computer programs and the Internet
  5. a good standard of numeracy is essential
  6. an understanding of accounts and financial management will be important, including expertise with Excel spreadsheets. Experience of accounting software and Sage Payroll software would be an advantage
  7. being able to work as part of a small team, requiring good communication skills
  8. experience of working in a marketing environment is preferred, but is not essential, and a willingness to deal with clients by email and telephone is also an advantage.
